Operations systems · Built around how you already work

Run the business.
We’ll fix the work slowing it down.

We use software, automation, APIs, data, and AI to remove repetitive work, connect your systems, recover lost revenue, and keep operations moving.

No AI pitch. No preset package. We start with what is wasting your time or money.

Where the audit starts. Three questions, before any tool is chosen
01
What is wasting your time? The task your team repeats that nobody defends.
02
Where are you losing money?Quotes unanswered, calls missed, work rebilled late.
03
Where are customers waiting? The handoff where things go quiet on them.
Then we pick the technology.Sometimes an API. Sometimes a database. Sometimes AI.
A.

Real systems. Running today.

How we choose

AI is not always
the answer.

Sometimes you need an API.
Sometimes you need a better database.
Sometimes you need a form.
Sometimes two systems need to talk.
Sometimes you need custom software.
Sometimes AI is the right answer.

Starting with “How do we use AI?” is backwards.

Start with:

  • What is wasting your time?
  • Where are you losing money?
  • Where are customers waiting?
  • What does your team keep doing manually?

Then use the right technology.

The tech is our problem.
The business outcome is yours.

Where the work actually goes

Your software isn’t the problem.
The work between it is.

Most companies already have enough software. Their employees still spend hours moving information between it.

How Aplos sits between the software a business already owns and the work it should produce Eight existing systems, CRM, email, phone, calendar, accounting, payments, documents and ads, all feed into an Aplos operations layer, which produces actions, updates, follow-ups, decisions, alerts and reporting. Aplos removes that manual layer.

Real business problems, solved

Different businesses.
The same drag.

Leads wait. Teams repeat work. Information gets trapped in separate tools. These are production systems built around the way each client actually operates.

Client build Sign shop: lead to install

Quotes and installs tracked by hand across texts and spreadsheets. Built scored lead capture, a live project board, and automatic client updates. Owner sees every job’s status without chasing it.

Client build · Architecture Project delivery in one place

Project state lived in email threads and nobody could answer “where is this?”. Built one delivery view with every billable milestone flagged automatically. Fewer status meetings, nothing billed late.

Partner build · VR entertainment venue Twelve tools, one operating view

Customer, booking, marketing and review data sat in twelve disconnected systems. Built one operations layer joining all twelve with automated comms. One customer history, faster response, real operational visibility.

Client build · anonymized Auto shop phone system

Calls missed during service hours went nowhere and the lead was gone. Built 24/7 call handling with qualification and automatic follow-up. Estimated 3 hrs/week back and no silent misses.

What we run

Six parts of the operation,
and the work each one stops.

Customer Operations

Nobody has to be free to answer the phone for the business to capture the job.

Front desk, lead capture, call handling, scheduling, intake.

Revenue Operations

Estimates get chased on a schedule instead of whenever someone remembers.

Lead follow-up, quote follow-up, missed opportunity recovery, sales workflows.

Customer Communication

Customers stop calling to ask where things stand, because they already know.

Email, SMS, notifications, status updates, review requests.

Back Office

The information arrives where it is needed without being retyped on the way.

Data entry, documents, reporting, reconciliation, internal workflows.

Team Operations

Work reaches the right person without a meeting to decide whose it is.

Task routing, approvals, internal alerts, knowledge access, employee workflows.

Operations Intelligence

One view of what is actually happening, instead of four systems telling different stories.

Dashboards, forecasting, data consolidation, decision support, performance monitoring.

How it works

How Aplos
works.

Four steps, in order. The technology is chosen
at step two, after we know what is actually
costing you time, money, or customers.

01
Operations Audit

We identify where time, money, or customer experience is being lost.

02
System Design

We choose the simplest technology that solves the problem.

03
Build + Deploy

We connect your existing tools or build what is missing.

04
Operate + Improve

We monitor the system and improve it as your business changes.

What it costs

Priced from the
problem, not a package.

Managed Systems start at $199/month. Custom builds run $2,500 to $7,500 for a focused system, $8,000 to $20,000 multi-workflow, and $30,000+ for complex operations. Final scope is defined after the Operations Audit.

There are two paths. Managed products start at $199 per month plus launch and configuration. Focused custom integrations typically run $2,500–$7,500, multi-step workflows $8,000–$20,000, and custom operating systems $30,000+. Custom work is scoped and fixed in writing before implementation.

Managed-product launch timing is confirmed during setup. Focused custom integrations commonly take 1–2 weeks, multi-step workflows 4–6 weeks, and larger operating platforms use milestone delivery. The biggest variables are access, data quality, approvals, and the number of exceptions.

Custom systems are yours under the written scope. We hand over the agreed code, data, accounts, and documentation. Managed products are different: the monthly plan includes the live service, monitoring, support, and updates.

We choose the simplest dependable approach for the job: direct APIs and custom code when control matters, or tools such as n8n, Make, and Zapier when they are the better fit. Managed products can run on our supported stack; custom systems can use client-controlled infrastructure. Required licenses, usage, hosting, and support costs are disclosed before launch.

Zapier is a tool. We're the builders. Zapier handles simple two-step automations: if this happens, do that. Most real business processes involve complex logic, error handling, multiple systems, and AI decision-making that requires custom development. We design, build, test edge cases, and hand off a production-ready automation. Not just a connected Zap.

We work with growing service and operations-heavy businesses where leads wait, teams repeat manual work, customers need updates, or important information is split across disconnected systems. Clients include trades, professional services, architecture, entertainment venues, franchises, and appointment-based businesses.

Book a call and tell us about it. If the process is repetitive and rule-based, we can probably improve it. We will tell you whether an existing product fits or whether the process needs written discovery and a custom implementation scope.

It's 30 minutes. We'll walk through the workflow, identify the operational drag, and tell you whether a managed product fits or a custom scope is needed. Simple work may get a range immediately; larger systems need written discovery before an honest implementation quote.
